Summary

In Perenso, Accounts are the entities that Users create Calls on to take orders or capture data.

During the following steps, you can configure the fields related to your Accounts. This will allow you to export a template to Excel which you can then populate with your won data and import back into Perenso.



Steps

  1. Add Account Types
    An Account Type allows you to have different fields for different Account Types.
    For example, in your business you might have 2 different teams - one which call on hardware stores and one which call on grocery stores. In this case, it could make sense to have 2 Account Types (Hardware and Grocery).
    It is common to only have 1 Account Type with a general name such as "Accounts".

  2. Account Fields
    Select which Account Fields you would like for each Account Type.
    A field is a place to keep data relating to your Accounts.
    For example, Account Name or Phone Number are fields.

  3. Additional Account Fields.
    Additional Account Fields are fields you can use to store information about your Accounts in addition to the fields selected in "Standard Account Fields".

  4. Create Account Groups.
    Groups are useful in Perenso for 2 main reasons:
    1. Reporting - Reporting on a group of Accounts allows for top level reports (eg. a report on total sales for a state/territory
    2. Visibility - You can set things in Perenso to only be visible to specific group/s of Accounts (eg. deal or question that only applies to a specific group)

    There are 2 types of groups in Perenso:
    1. "Groups" - These are single level groupings for Accounts
    2. "Structures" - These are multi level groups which are related (eg. country>state>territory would be a "Structure" group)

  5. Template Export
    You can now generate an Excel file that contains a column for each field you have specified in the previous steps.
    Once the file has been generated, open the file in Excel and populate each row with your own data.

  6. Account Import
    You can the import the Account template created in the previous step.
    Fields are automatically mapped, however, it is possible to change the mapping to cater for situations where you might have more than 1 column with the same data (eg. if "Territory" is a group and an Account is in 3 territories, then you will have 3 columns for each territory. You can map all 3 columns to the territory groups.
    If you have multiple Account Types and wish to import more than 1, you can create an additional Account Import at the end of Account Import 1)

Once import is completed, customer Accounts will successfully have been added into Perenso.
